Manage Participants, Reviewers, and Reminders in a Review Campaign

When creating a review campaign, you can define which employees will participate, assign their reviewers, and schedule automatic reminders. These settings help you organize reviews and monitor their progress.

1. Add participants individually

From the participant management step of your campaign:

  1. Select the option to add participants individually.

  2. Search for the employees you want to include.

  3. Select the relevant employees.

  4. Confirm the selection.

  5. Review the participant list.

This method is suitable for campaigns involving a limited or specifically identified group of employees.

2. Add participants using a dynamic group

You can also select a user group.

The group's members are determined based on specific criteria, such as:

  • Job position.

  • Department.

  • Location.

  • Another attribute available in your HR data.

Example:

You want to organize a campaign for all employees working as "Claims Handlers."

By selecting the corresponding dynamic group, you can build the campaign's participant list without searching for each employee individually.

Dynamic groups allow changes in the employee population to be reflected according to the defined update rules.

After adding a group, the participant list refreshes automatically.

3. Change the primary reviewer

For each employee, you can adjust the assignment of the primary reviewer.

This is particularly useful when an employee needs to be assessed by someone other than their usual manager.

Make sure reviewer assignments are correct before launching the campaign.

4. Add a second reviewer

You can add a second reviewer when a review requires input from multiple people. This allows an additional reviewer to be assigned to the same employee while keeping the primary reviewer in place.

Example:

An employee has worked with two different managers during the year.

Adding a second reviewer allows both perspectives to be taken into account during the review process.

5. Delegate a review

Delegation allows you to reassign responsibility for conducting a review when the originally assigned reviewer is unable to carry it out.

From the administration interface, use the delegation option available for the relevant review.

Then, verify that the new assignment matches your intended organization.

Important: A second reviewer is added alongside the primary reviewer, whereas delegation transfers responsibility for conducting the relevant review.

6. Schedule automatic reminders

Reminders allow you to follow up with participants based on their progress in the campaign.

From the reminder settings, configure:

  • The message subject.

  • The message content.

  • The sending date.

  • The recipients: employees, reviewers, or both.

  • The triggering conditions.

You can target reminders based on the review's status and completion.

Example:

You want to send reminders only to employees who have not completed their preparation.

Configure the reminder to target only those participants, without notifying employees who have already completed their preparation.

7. Monitor campaign progress

During the campaign, use the tracking information to identify participants who still need to take action.

Reminders can be targeted based on:

  • Status: In preparation, pending, or in review.

  • Completion: Completed or not completed.

These conditions can be combined to refine the recipient list.

Best Practices

Before launching the campaign:

  • Review the selected participant population.

  • Verify reviewer assignments.

  • Identify employees who require a second reviewer.

  • Prepare reminder messages.

  • Check the triggering conditions to avoid unnecessary notifications.
