Manage Signatures and Response Confidentiality

Signature and visibility settings allow you to tailor the review process to your organization's HR policies. You can define whether signatures are required and control access to responses during the preparation phases.

1. Configure signatures

When configuring the campaign, select the preferred signature option.

Signature disabled

Participants are not required to sign.

This setting is suitable for reviews that do not require formal validation through a signature.

Signature required

Participants must sign their review according to the defined process.

Signature required with refusal allowed

A signature is requested, but participants can choose to refuse.

The refusal is recorded and indicated in the final document.

This option ensures that the refusal is documented without preventing the HR process from continuing.

2. Define the visibility of employee responses

You can choose whether the employee's responses are accessible to the reviewer during the preparation phase.

In the campaign settings, use the following option:

"Show employee responses to reviewers"

  • Enabled: The reviewer can view the employee's responses during preparation, subject to the applicable access permissions.

  • Disabled: The employee's responses remain hidden from the reviewer during this phase.

This setting must be configured before launching the campaign.

3. Manage response visibility during the review meeting

During the preparation phase, employees and managers can write their responses confidentially, depending on the visibility settings.

During the review meeting, each participant can choose to reveal their responses.

This feature allows participants to prepare their assessments individually and share information at the appropriate time during the discussion.

The manager's notes remain hidden from the employee until they are revealed.

4. Understand the impact on the final report

The final document reflects the review settings.

It may include:

  • Responses permitted by the visibility rules.

  • Final comments.

  • Signature statuses.

  • A record of any refusal to sign.
